Vendor Check-In

Vendors should come to Sunset 3 on Thurs, March 23, 2023 from 7p-9p to receive their conference badges and table assignments.

Vendor Schedule

  • Set up: Thurs, March 23, 2023 from 7p-9p
  • Tear down: Sat, March 25, 2023 from 3pm-4pm

Vendors are expected to stay at their tables during all dedicated networking/coffee breaks in order to provide signatures for the closing ceremony raffle. The conference schedule is available online: https://chiaonline.org/2023ConfProgram

Closing Ceremony Raffle

This takes place on Saturday from 4pm-5pm. Historically, 75% of conference attendees stay through this final activity. We invite vendors to donate items for the raffle (gift certificates, swag, books, etc). Please bring the item(s) to the registration area.

Shipping & Receiving

Packages for functions or sleeping rooms may be delivered to the hotel no sooner than 3 days prior to your arrival date. Arrangements must be made through the Catering/Event Manager for storage. Packages can be retrieved by calling the Package Room to have them delivered. When shipping packages/boxes to the Hotel, please address them as follows:

No COD packages will be accepted. The Hotel policies on safe package handling are based on advice from the United States Postal Service (USPS) and the Federal Centers for Disease Control and Prevention (CDC). **All exhibit boxes and crates must be arranged through a drayage company and cannot be shipped directly to the hotel, please see event manager for production guidelines**. See Concessions regarding charges.  


PACKAGES/DELIVERIES: A service charge will be posted to an account for Package Room services rendered to all guests, non-guests and exhibitors. These charges are in addition to the regular freight charges imposed by UPS, RPS, Airborne or any other Service Lines and are subject to change without notice as determined by the hotel. Hotel policy does not permit employees to pack guest shipments. Packing supplies will be provided, if available, for a fee to be determined by the hotel. Current charges are as follows:

FAQ

  • What size are the exhibit tables? Each Sponsor and Exhibitor receives a 6-foot table and 2 chairs. Promo Tables are high boys, typically 36" in diameter.
  • Will there be complimentary wifi in the exhibit hall? Yes. However, please contact the hotel's AVMS for any specific high speed internet connectivity needs.
  • Will our booth have power? Yes. However, you may wish to bring your own extension cord(s).
  • How many people will attend? We are expecting 275-300 attendees in 2023.
  • Can I receive a contact list of attendees? CHIA does not distribute attendee information. You may collect this at your exhibit table, however, for those attendees who are willing to provide it.
  • Can I attend presentations? Yes, vendors are allowed to attend workshops or breakout sessions.
  • Are meals included for vendors? Yes.
  • Will the exhibit hall be locked at night? The exhibit space will be used by CHIA only. However, we will be using a public area that may not be secure at all times. Any valuables should be locked by the vendor at night. CHIA is not responsible for lost, stolen or damaged items.
